BB&B 2026 Privacy Policy

This policy explains how the Bullets, Bourbon, & Barbecue event companion handles information on the website and in the iOS and Android apps.

Information stored on your device

Your saved schedule, notification preference, appearance, text size, preferred map view, and unfinished media-upload drafts are stored locally on your device. Drafts include the selected original, processing status, and any editable caption. You can remove this information by discarding the draft, clearing the site's storage, or deleting the app.

Location

Location access is optional and is used only to show your position, calculate approximate walking distance, and start directions to an event area. Huntsville SOF Network does not store your precise location on its servers. If you open external directions, the selected mapping provider processes the location under its own privacy policy.

Event notifications

Event reminders are optional and are scheduled locally on your device only after you enable them. Your notification preference is stored on the device and is not associated with an attendee account. You can cancel the reminders from the app or change notification access in your device settings.

AI-assisted media captions

When you select a photo, it is sent securely to a Cloudflare-hosted image-analysis service to identify visible content, choose an event category, and draft a caption. The analysis does not attempt to identify people or infer sensitive traits, and the analysis request is not retained. You review and may edit the caption before publishing.

Community gallery

When you tap Use Caption & Publish, the original photo and your caption are stored in Cloudflare R2 and the BB&B gallery index. Videos are published after you select them. Published media is visible to app users, who can enlarge, download, and share it. Do not publish media you do not have permission to share. Published media is retained for the event gallery until it is no longer needed or you request removal at the contact address below.

Auction administration

The attendee app does not require an auction profile. Authorized event administrators may submit photographs of paper bid sheets for transcription. Those images are sent to OpenAI for the active analysis request with storage disabled and are not saved by the BB&B backend. Reviewed bid text, administrator account information, security logs, and audit records may be stored in Cloudflare D1 to operate and secure the auction workflow. The signed paper sheet remains the official record.

Hosting and external services

Cloudflare hosts the app and may process standard network and security information such as IP address, request time, device/browser details, and requested URL. The app contains optional links to Still Serving Veterans, Google Maps, sponsors, email, and other third-party sites. Their privacy practices apply after you leave the app.

How information is used and shared

Information is used only to provide event features, operate the shared community gallery, secure administrator access, transcribe administrator-submitted bid sheets, and troubleshoot the service. Huntsville SOF Network does not sell personal information, serve targeted advertising, or use the app for cross-app tracking.

Retention and your choices

Device-local information remains until you discard it, clear it, or delete the app. Transient media-analysis requests are not retained, while intentionally published gallery originals and captions remain available as described above. Administrative and auction records are retained only as long as reasonably needed for event operations, security, legal obligations, and recordkeeping. To request access, correction, or deletion of published media or other server-held information associated with you, contact us below.

Children

This event companion is not directed to children under 13. The event includes firearms and alcohol-related content intended for an adult event audience.
